Privacy policy
RTO Growth is a virtual assistant service provided by LTO Success Group Pty Ltd, trading as RTO Software ("we", "us", "our"). We are committed to handling personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
This policy explains how we collect, use, store and disclose personal information through the rtogrowth.com.au website and in delivering our virtual assistant services.
1. Information we collect
Website enquiries. When you complete a form on this website or contact us, we collect the details you provide, such as your name, organisation, email address, phone number and information about your RTO and the support you're interested in.
Website usage. We use Google Analytics to understand how visitors use our website. This collects information such as pages visited, browser type and general location, using cookies. It does not identify you personally. You can opt out using Google's browser add-on or your browser's cookie settings.
Client relationships. When an RTO engages us, we collect contact and billing details for the people we work with at that RTO.
2. Information we access when delivering services
When providing virtual assistant services, our VAs access personal information held by our client RTOs, such as student records, within the client's own systems and using access the client provides and controls. In doing so we act on the client's instructions and on its behalf.
- Client data remains in the client's systems. We do not download, copy or store client student data on our own systems.
- Access is limited to what is needed to perform the agreed tasks.
- Our staff are bound by confidentiality obligations, and we can enter into a confidentiality agreement with clients on request.
- Clients can change or remove our access at any time.
Each client RTO remains responsible for its own privacy obligations to its students, including under the Standards for RTOs and, where applicable, the ESOS framework.
3. How we use personal information
- To respond to enquiries and provide information about our services, availability and pricing
- To deliver, manage and invoice our services

- To comply with our legal obligations
We will only send you marketing communications if you have agreed to receive them, and you can unsubscribe at any time.
4. Disclosure, including overseas
We do not sell personal information. We may disclose it to our related entities and to service providers who help us operate (for example website hosting, email and analytics providers), only as needed for those purposes.
Overseas access. Our virtual assistant team is located in India. When delivering services, VAs access client systems remotely from India. Our team in India may also access enquiry and client contact information to help deliver and co-ordinate services. We take reasonable steps, including contractual confidentiality obligations and access controls, to ensure personal information is handled in a way that is consistent with the APPs.
Some of our service providers (such as cloud email or analytics providers) may store data outside Australia.
5. Security
We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. Personal information we no longer need is destroyed or de-identified.
6. Access and correction
You can ask to access or correct the personal information we hold about you by contacting us using the details below. If your request concerns student records held by an RTO we work for, we will refer it to that RTO.
7. Complaints
If you have a concern about how we have handled your personal information, please contact us first and we will respond within a reasonable time. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
